RENTAL SPACES COORDINATOR
VERDE ON CHEROKEE / NISTENHAUS DESIGN / WAREHAUS
Job Description
The Rental Spaces Coordinator is currently a part-time position responsible for: communication and coordination with rental vendors and renters; coordinating repairs/maintenance tasks; routine clerical work; and light day- to-day manual maintenance of the venue space under the supervision of the Office Manager & Owners. The Rental Spaces Coordinator is expected to work a minimum of one Saturday or Sunday each weekend during peak booking seasons, as well as at least 2 days Mon-Wed on a regular basis. They ensure that events have sufficient staff coverage, or else may need to cover on an as-needed basis.
Hourly rate $18-22*
*Increase from $18 is dependent on experience, efficiency, and successes after training period. Opportunities for future advancement as well.
Areas of Responsibility
RENTAL COORDINATION (SOME ASSISTING, SOME MANAGING)
Complete ownership of events or bookings going smoothly, within their control - for the Lemp, Warehaus, 2116 Apartment spaces fully; and for the Verde events they help with. From inquiries and tours to bookings and follow-ups, clean-ups, damages reports & repair coordination.
Obtain necessary rental requirements (contracts, insurance, deposits, etc.) based on the space being rented.
Rental items accurately ordered in, and set as requested by renter
Ensure all Verde events are covered by Verde staff member, with sufficient assistance from other Verde PT staff
Answer renter questions within what our business is able to offer and that certain space’s guidelines/requirements
Complete ownership of professional, efficient, pleasant, and accurate communication with all renters, rental vendors, and Nistenhaus/Verde staff
Complete ownership of correct orders and set ups
Give tours to potential renters on days in the office
Advise on how the event could function best
Talk about benefits of add-ons to increase booking sale
OVERSEE GENERAL RENTAL SPACES MAINTENANCE
Ensure all spaces being rented are ‘ready’ (stocked and up to our cleanliness & organization standards) before and after events, in a timely manner.
Although several of the Cherokee Street spaces have a cleaning company that comes on a bi-weekly basis, the Rental Coordinator along with other team staff, will be expected to jump in and clean as-needed as well. I.e. - loading china in dishwasher when rented, cleaning if there’s an unexpected mess between or after events, sweeping up dead leaves in the greenhouse, leaf-blow, etc. (These tasks are typically 30% or less of their time.)
Oversee the greenhouse and other areas are quickly reset after weekend events.
ASSIST WITH GENERAL OFFICE DUTIES
Opening and closing procedures
Accepting deliveries, checking all items are correct for Verde rental deliveries
Calendar maintenance and updates
Message collection and relay
Answering phone, greeting customers
Rental space emails, AirBNB & Peerspace accounts - reading and responding to messages
Creation of contracts, event quotes
Proper filing of all project related documents, electronic and physical
ASSIST WITH MARKETING & SOCIAL MEDIA MANAGEMENT
Under direction of Office Manager, create occasional engaging social media content
Dispersion of occasional marketing flyer / other outreach for the rental spaces
Job Requirements
Reliable - if emergency, is responsible to find other staff coverage
Team player - willing to jump in where and as-needed; no task is ‘below’ any of us
Detail & Organization-oriented - scheduling & times, contract details, pricing quotes, rental ordering, tidiness and cleanliness of rental spaces
Familiarity with Google Drive Suite (Email, Word, Excel, etc) & Social Media
Comfortable, confident and friendly communicating with renters, walk-ins, or calls
Reliable car for small pick up/ drop off errands.
Problem-solver (in the few instances of event days, this can come in handy when things don’t go as planned)
Lives within 20-min driving distance of 2118 Cherokee Street
Ability to lift 50 lbs.
